Managing Your Travel Profile

Edited

Your travel profile is the foundation of every trip we book on your behalf. Our team and our booking systems use it to ensure your reservations are made under your legal name, apply your loyalty program numbers automatically, honor your travel preferences, and comply with government identification requirements.

Keeping your profile accurate means fewer errors at check-in, faster bookings, and a better experience every time you travel.

How to Update Your Profile

You can manage your travel profile in two ways: through the Andavo Traveler mobile app or through the web interface. Both give you full access to your personal information, travel preferences, loyalty numbers, and travel documents. Most changes take effect immediately and sync automatically to our booking and advisor systems, so you won’t need to notify anyone or send updates by email.

A few fields - specifically your legal name, work email address, and company identifiers - require approval from your travel administrator to change. This protects the integrity of your identity across our systems. If you need to update one of those fields, reach out to your travel admin directly or contact our support team.

Required Information: TSA Compliance

The Transportation Security Administration (TSA) requires that specific personal information on your ticket match your government-issued ID exactly. The following three fields are required in your travel profile and must be kept current and accurate:

Field

Why It’s Required

Full Legal Name

Must match your government-issued ID exactly (first, middle if applicable, and last name). Used for TSA Secure Flight screening on every domestic and international flight.

Date of Birth

Required by TSA for Secure Flight passenger prescreening. Must be entered in your profile as MM/DD/YYYY.

Gender

Required by TSA for Secure Flight prescreening. Select the gender that matches your government-issued ID.

Important: If your legal name has recently changed (e.g., due to marriage or a legal name change), please contact your travel administrator to update your profile before your next trip. Mismatched names can cause issues at check-in or TSA screening.

Optional but Recommended Information

While not required, the following information significantly improves your travel experience and reduces friction at the airport. We recommend completing as much of your profile as possible before your first trip.

Travel Security Programs

  • Known Traveler Number (KTN): Your TSA PreCheck number. When stored in your profile, it is automatically added to your reservations, enabling expedited security screening at participating airports.

  • Redress Control Number: Issued by the Department of Homeland Security (DHS) if you have previously experienced misidentification issues at security or customs. If you have a Redress number, entering it in your profile helps prevent delays.

International Travel Documents

  • Passport information

Required for international bookings. Storing your passport number, country of issue, and expiration date in your profile means our team can book international trips on your behalf without requesting your documents each time. You will be notified in advance if your passport is approaching expiration.

Loyalty Program Numbers

Adding your loyalty program numbers ensures you receive credit for every trip. Your numbers sync automatically to your bookings, so you don’t need to provide them at check-in or during booking.

  • Frequent flyer numbers (all airlines you fly)

  • Hotel rewards program memberships

  • Car rental loyalty memberships

Travel Preferences

Your preferences help our team and booking systems make selections that match your comfort without having to ask each time.

  • Seat preferences: aisle, window, exit row, or no preference

  • Meal preferences: special dietary needs or meal selections for qualifying flights

  • Airline preferences: preferred carriers when multiple options are available at similar cost and timing
